Privacy Policy
How Optimized Star LLC collects, uses, shares, and protects personal information on ServicedCar.com.
The short version
- We collect only what we need to run the directory: account details, your vehicles and records, repair requests, and business listing details.
- We do not sell your personal information and do not use it for targeted advertising.
- Repair requests are paused. When they reopen, a shop gets your request only after you choose that shop.
- Your vehicle records are private unless you choose to share them with a business.
- You can see, correct, download, or delete your information by emailing admin@servicedcar.com. These choices are open to everyone in the U.S., not only residents of certain states.
1. Who we are and what this covers
ServicedCar.com is owned and operated by Optimized Star LLC, an Arizona limited liability company (“ServicedCar,” “we,” “us”). This Privacy Policy explains how we collect, use, share, and protect personal information when you use ServicedCar.com, its accounts, dashboards, tools, and emails (the “Service”). It applies to drivers, visitors, and the people who manage shop and administrator accounts.
When a shop or administrator receives your information because you asked us to send it, that business’s own privacy practices also apply. Our Terms of Service require businesses to use your information only to respond to your request.
2. Information we collect
- Account details, from you: your email address, your name if you give one, your password (stored only in scrambled, hashed form by our sign-in provider; we never see it), two-step sign-in settings, your confirmation that you are 18 or older, and a record of when you agreed to our Terms and this Policy.
- Vehicles and maintenance records, from you or a business you give access to: year, make, model, nickname, mileage, and service history such as dates, work done, shop name, cost, and notes.
- Repair requests, from you: email and/or phone, ZIP code, vehicle details, your description of the problem, and the shop you choose. The request form is closed; we hold requests sent before it closed.
- Business listings and business users, from the business: business name, address, phone, website, hours, services, labor rates, guarantees, accepted service contracts, logos and photos; and the email and role of each person who manages the account.
- Billing for business plans, from the business through Stripe, once paid plans are offered: plan, billing status, and limited card details such as card type and last four digits. Full card numbers go directly to Stripe, our payment processor, and are never stored by us.
- VIN lookups, from you: a VIN you enter is sent to the National Highway Traffic Safety Administration (NHTSA) to decode the vehicle. We do not save the VIN with your garage record. To limit abuse we keep keyed, non-reversible fingerprints of lookups rather than readable VINs, and hourly totals of how many lookups occurred.
- Messages, from you: emails and support requests you send us.
- Device and usage information, automatically from your browser and our systems: IP address, browser and device type, pages visited, the page that referred you, approximate location derived from your IP address, and security logs.
Please don’t put sensitive personal details (such as health or financial information) in free-text fields like repair descriptions or maintenance notes. We don’t need them.
3. Cookies and similar technology
We use a small number of cookies and browser storage items, all to run the Service. We do not use advertising cookies or cross-site tracking.
- Sign-in cookies keep you signed in and protect your account.
- A visitor cookie (“sc-visitor”) holds a random ID so we can count how many people are using the site. It is deleted when you close your browser. The activity it records expires after 5 minutes; for signed-in users, a “last active” time is kept for 30 days.
- Browser storage may remember the vehicle you selected so searches can reuse it, and whether you have seen the opening animation. It stays on your device; you can clear it in your browser settings.
- Vercel Web Analytics measures page views, device types, and referring sites in aggregate. It does not use cookies, and it receives the page path without search details such as your ZIP code.
- Listing counts. When a listing appears in search results, its page is viewed, or someone taps its call or directions link, we add one to that listing’s daily total. These totals do not identify you.
- Maps are loaded from OpenStreetMap. Your browser connects directly to OpenStreetMap’s servers to load map images, so they receive your IP address.
Browser privacy signals. We honor Global Privacy Control (GPC) as a request to opt out of the sale or sharing of your information. Because we don’t sell or share personal information for advertising, no other change is needed. We do not track you across other websites, and we do not allow third parties to track your activity across other websites through our Service. OpenStreetMap and Vercel receive technical information only to load maps and measure site traffic.
4. How we use information
- to create and manage accounts, listings, vehicle records, and repair requests;
- to pass your repair request to the shop you choose, and to help you follow up, once repair requests reopen;
- to let businesses see records you choose to share with them;
- to process business plan payments and send receipts, once paid plans are offered;
- to send service messages, such as sign-in emails, request updates, and policy notices;
- to keep the Service secure, prevent fraud and abuse, and enforce our Terms;
- to understand how the Service is used and improve it, mostly using combined or de-identified information; and
- to meet legal obligations and respond to lawful requests.
We will not send you marketing texts or automated calls without your separate permission. Marketing emails always include an unsubscribe link.
5. Who we share information with
- Shops you choose: your repair request details, only after you choose the shop.
- Businesses you give access to: the vehicle records you choose to share. You can withdraw access at any time.
- The public: business listing information is public. Your vehicle records are never public.
- Service providers: companies that run parts of the Service for us and may use the information only to do so: Supabase (database, sign-in, storage), Vercel (hosting and analytics), Stripe (payments), and Resend (account emails).
- Elite FI Partners: Optimized Star LLC builds software for Elite FI Partners, and our business tools are shared with it. It may receive business listing information and combined listing counts. It never receives drivers’ personal information.
- Outside data sources: NHTSA receives VINs you look up; OpenStreetMap receives your IP address when maps load.
- Legal and safety: when required by law or legal process, or when needed to protect someone’s safety, our rights, or the Service.
- Business transfer: if ServicedCar is merged, sold, or reorganized, information may transfer to the new owner under this Policy.
- With your permission: any other sharing you ask for or agree to.
WE DO NOT SELL PERSONAL INFORMATION, AND WE DO NOT SHARE IT FOR TARGETED (CROSS-CONTEXT BEHAVIORAL) ADVERTISING.
6. Public vehicle history
We do not offer public vehicle history. Your vehicle records are never published. If we ever offer it, we will update this Policy before it starts.
7. Information about businesses
For shops and administrators: everything in your listing is meant to be public and is shown to anyone who visits the Service. The names and emails of the people who manage your account are not public. We use your business information to display your listing, run your account and billing, and contact you about the Service. When a business closes its account, it chooses whether we remove its listing completely or keep it as a free listing. Driver information you receive through the Service must be handled as our Terms of Service, Part B, Section 14 requires.
8. How long we keep information
- Account details, vehicles, and records: while your account is open. Deleted within 30 days after you close your account.
- Repair requests: 24 months after the request, then deleted.
- Business listings: while the business account is open. Removed from public view promptly after the account closes, unless the business chooses to keep a free listing.
- Billing records: 7 years, as needed for tax and accounting.
- Record of agreeing to Terms: for the life of the account plus 5 years, so we can show what was agreed.
- Security logs: 12 months, unless needed longer to investigate an incident.
- Abuse-prevention fingerprints and hourly totals: up to 30 days.
- Site activity: visitor activity, 5 minutes; signed-in “last active” time, 30 days.
- Backups: deleted information may remain in our database provider’s backups for up to 30 days until they are overwritten.
We may keep information longer when the law requires it or to resolve a dispute, and we may keep de-identified information, such as daily listing totals, that no longer identifies anyone.
9. How we protect information
We use reasonable safeguards for a business of our size, including encrypted connections (HTTPS), database rules that limit each account to its own information, two-step sign-in for our staff, and limited staff access. No online service is completely secure. If a security incident affects your personal information, we will notify you and the authorities as the law requires.
10. Your choices and rights
Wherever you live in the U.S., you can ask us to:
- see the personal information we have about you;
- correct information that is wrong;
- download a copy of your information;
- delete your account and personal information;
- stop marketing emails (use the unsubscribe link or contact us); and
- withdraw a business’s access to your vehicle records (in your account settings).
Some states give residents additional rights, such as opting out of the sale of personal information, targeted advertising, or certain profiling. We don’t do any of those things, but you can still ask us to confirm it.
How to ask. Email admin@servicedcar.com with the subject “Privacy Request,” or write to Optimized Star LLC, P.O. Box 144, Cortaro, AZ 85652. We will confirm your identity, usually by contacting you at your account email, before acting on a request. An authorized agent may ask on your behalf with your signed permission. We will respond within 45 days, or tell you if we need up to 45 more days as the law allows.
Appeals. If we deny your request, you can appeal by replying with the subject “Privacy Appeal.” We will respond within the time your state’s law requires. If you are still not satisfied, you may contact your state attorney general.
We will not treat you differently for using these rights. Deleting your account does not remove information we must keep by law or limited-time backups.
11. Children
Accounts and repair requests are for adults 18 and older. The Service is not directed to children under 13, and we do not knowingly collect their personal information. If we learn we have, we will delete it. Contact us if you believe a child has given us information.
12. State-specific notes
California. We don’t sell or share personal information for cross-context behavioral advertising, and we don’t disclose personal information to others for their own direct marketing. California residents may use the rights in Section 10 and may ask us about our disclosures.
Nevada. We do not sell covered information as Nevada law defines it.
13. Changes to this Policy
We may update this Policy. The date at the top shows when it last changed. For a material change, we will notify you by email or through the Service at least 30 days before it takes effect, and we will ask for your permission where the law requires it.
